If you're a Ghanaian academic, doctor, researcher, or professional travelling to the United States for an international conference, the invitation letter is the document your entire B1 visa file is built around. The DS-160 explains what you're going to do; the invitation letter is what proves it. Get the letter right and your visa file becomes coherent. The 8 elements every conference invitation letter must have

  1. Official letterhead of the conference host (university, society, organising committee).
  2. Date of issue.
  3. Addressed to you by name — exactly as on your passport.
  4. The conference's full name, dates, and venue (city, state, conference centre).
  5. Your role at the conference — attendee, presenter, panellist, invited speaker.
  6. Financial responsibility statement — who pays for registration, flights, hotel, meals.
  7. Confirmation of your registration — registration ID or confirmation number.
  8. Signature, name, title and direct contact of the issuing officer.
